Short answer: To record in-person sales meetings and field visits, the rep asks the buyer for permission and records with Samu's mobile app, or uploads a recording they already have. Samu then produces the summary, both sides' tasks, the meeting score and the CRM note, the same as for a video call. Regular cell phone calls are not recorded.
It's 6 p.m. and the rep is driving back from the third visit of the day. At a red light he texts his manager: "Went well, they liked it, they'll send me their purchase volume." The manager asks who was in the room, what price came up and when the next step is. The answer arrives the next day, or never. In the CRM, the visit reads "Meeting completed" and nothing else.
Roughly one in four teams we ran discovery with this year raised this problem in some form. One sales manager put it this way: "Twenty people walk into the showroom and we sell to ten; the rest are untraceable."
Quick summary:
- Field sales leaves the least trace of any channel: it depends on the rep logging it at the end of the day.
- With Samu's mobile app, the rep records the in-person meeting from their phone. If they already have the audio, they upload it.
- Samu's desktop app records WhatsApp calls from WhatsApp Web and meetings where you don't want a bot.
- Each recording ends up as a summary, tasks, a score and a CRM note, with no manual entry.
- Ask for consent before recording. Recording laws vary by state and country; below is a ten-second script.
Why does field sales leave no trace?
Sales recording tools were built for the video call: a bot joins Zoom or Meet and records. The plant visit, the showroom floor and the lunch with a buyer sit outside that loop.
1. The CRM gets filled later, or never
Field reps spend the day between the car and the meeting. Logging a visit means writing from memory what happened four hours ago, at the end of the day or in a Friday batch. What's left is a two-line summary that helps little with the next step and not at all with coaching.
2. The phone is the office, and the system wasn't built for the phone
Many field teams work with an ERP or CRM that is awkward on mobile. Several managers described it the same way: logging a visit from the phone takes longer than the visit. So the information lives in the rep's WhatsApp and in their head.
3. What's said in the room goes nowhere
During a visit, the buyer shows the operation, introduces someone from their team, mentions their current supplier and what it costs them. That's deal data: competitor, stakeholders, pain, next step. If nobody captures it, the manager only sees what the rep remembers and chooses to share.
What does unrecorded field sales cost?
The first cost is the forecast. Without evidence from field meetings, stage and close date depend on what the rep says. Another manager described the gap between what the rep tells you and what actually happens in the field.
The second is follow-up. Commitments from a visit ("I'll send the price list," "I'll check with the owner") get lost more easily than those from a video call, because nobody wrote them down. The third is coaching: a manager can listen to ten calls in an afternoon, but riding along on ten visits takes two weeks. And when a field rep leaves, the history of every account they visited leaves too.

How do you record in-person sales meetings with Samu?
A field visit should end up where a video call does: transcribed, summarized, scored and in the CRM. There are three ways to capture it.
Mobile app for in-person meetings
The rep opens Samu's app on their phone when the meeting starts and records. The recording is processed like any other conversation on the team. It works for customer visits, meetings at the prospect's office, showrooms and sales floors, and business lunches.
Tip: put the phone on the table, close to whoever is speaking. Noisy plants and stores transcribe better with the microphone near.
Upload a recording
If the meeting was recorded with another device or app, the rep uploads the file to Samu and processing is the same. It's useful for teams that already record some meetings and have nowhere to analyze them.
Desktop app: WhatsApp calls and meetings without a bot
Field reps also coordinate on WhatsApp and settle questions with a WhatsApp call before or after the visit. With Samu's desktop app, WhatsApp calls made from WhatsApp Web are recorded.
The same app covers video calls where you don't want a bot in the room, because the buyer is uncomfortable or the meeting is sensitive. It records from the rep's computer. Without a bot, the buyer sees no automatic notice, so the rep has to give it (see the consent section below).
WhatsApp chats and voice notes sync through the Chrome extension or a QR code. More in how to integrate WhatsApp with your CRM.
What should field sales visit notes include?
Once processed, an in-person meeting gets the same output as any other conversation in Samu. If you're designing a visit note template, these are the pieces that matter:
| Piece | What it captures | How Samu fills it |
|---|---|---|
| Summary | Buyer situation, current supplier, volume, objections, next step | Summary template you choose, including one built for field visits |
| Rep's commitments | "Send quote with guaranteed delivery time" | Tasks, with status and date |
| Buyer's commitments | "Share monthly volume per branch" | Follow-up tasks, with status and date |
| Structured fields | Competitor, number of branches, monthly volume, decision date | AI Extractor, described in plain language |
| Who was there | Names, roles and who decides | Stakeholder map in Insights; missing contacts created in the CRM |
| Quality of the visit | Did the rep ask who signs? Agree a dated next step? | Custom Score for the field-visit call type, with a quote per criterion |
Samu writes a note with the meeting detail to HubSpot, Salesforce, Pipedrive, Zoho or Freshsales, attached to the contact, account and deal, and can update fields. If a meeting can't be matched automatically, it waits in the review queue for the rep to pick the deal. For managers, visits feed the coaching dashboard and team analytics alongside video calls. Is it legal to record in-person sales meetings?
It depends on where the meeting happens, and this section is general information, not legal advice. In the US, federal law follows a one-party consent rule, but a group of states (California, Florida, Illinois, Pennsylvania and Washington among them) require the consent of all parties. Outside the US, rules differ by country, and data protection laws such as the GDPR in the EU and UK add obligations about how recordings are stored and used. Define your recording and retention policy with legal counsel.
Whatever the law requires, asking first is good practice and builds trust. In person it's easier than it sounds, especially if you explain what the recording is for. A line that works:
"Before we start, do you mind if I record our conversation? It's so I don't have to take notes and don't miss anything you ask for. The recording stays inside our company, and if at any point you'd rather I stop, just tell me."
Three details help: ask at the start, not halfway through; put the phone on the table instead of recording from a pocket; and accept "I'd rather not" without pushing. If the buyer says no, don't record.
A day in the life of a field rep with Samu
- 9:30. Visit to a distributor. The rep asks for permission, sets the phone on the table and records with the mobile app. The buyer mentions they buy from a competitor today and their problem is delivery times.
- 11:00. On to the next visit without writing anything.
- Between visits. Once processed, Samu has the summary with the field-visit template, the rep's task ("Send quote with guaranteed delivery time") and the buyer's follow-up task ("Share monthly volume per branch"). The AI Extractor filled the competitor field.
- 3:00 p.m. The buyer calls on WhatsApp to add another branch. The rep answers from WhatsApp Web on a laptop and the desktop app records the call.
- Next day. Both interactions are in the CRM as notes on the deal. The manager checks the visit score, sees the rep didn't ask who makes the purchase decision and flags it for the week's one-on-one.
What Samu doesn't do
It doesn't record regular phone calls made from the rep's cell phone. If your team calls buyers on their phone line, those calls don't reach Samu. Three alternatives work: calling through integrated telephony (HubSpot Calling, Aircall or Anura, which also log unanswered calls), using WhatsApp calls from WhatsApp Web with the desktop app, or recording another way and uploading the file.
It doesn't decide whether a recording is legal or ask for consent on the rep's behalf. That conversation happens between your team and the buyer, and your company sets the recording and retention policy with its legal advisor.
FAQ
How do I record in-person sales meetings?
Ask the buyer for permission, put the phone on the table and record with Samu's mobile app, or upload a recording from another device. Samu transcribes it, summarizes it, logs both sides' tasks, scores it and writes the note to your CRM.
Do I need consent to record a sales meeting?
Often, yes. In the US, federal law and most states follow one-party consent, while a group of states require all parties to agree. Other countries have their own rules, and data protection laws apply to stored recordings. Asking first is the safe default; check your policy with legal counsel.
Can I record the calls my reps make from their cell phones?
Not with Samu. Calls through integrated telephony (HubSpot Calling, Aircall, Anura) and WhatsApp calls made from WhatsApp Web with the desktop app are recorded.
What should field sales visit notes include?
The buyer's situation, current supplier, volume, objections, who attended and who decides, commitments from both sides with dates, and an agreed next step. Samu fills these from the recording with summary templates, tasks, follow-up tasks and the AI Extractor.
What happens with field meetings that weren't recorded?
They don't reach Samu. That's useful information too: if a rep has ten visits on the calendar and two recordings, it's worth asking why.
Conclusion
For teams that sell face to face, the in-person meeting is where much of the deal gets decided, and it's the one managers see least. Recording the visit with the buyer's permission, from the phone the rep already carries, is enough for that meeting to have a summary, tasks, a score and a CRM note without anyone typing at the end of the day.
